Here are a few questions that came up in our parent meeting:

DO WE HAVE TO DRESS UP FOR DINNER ON THE CRUISE:
Dress code for dinner: no jeans or flip flips; pants or skirts are required. The last dinner is
“Greek Night” and passengers are encouraged to wear blue and white attire to dinner (not required).

HOW DOES THE ACCOUNTS ON THE SHIP WORK
If using cash, everything will need to be prepaid, as the cruise account functions as a debit account. 
So that would mean enough money for tip, excursions and anything else you might want to buy on board.

Yes—credit cards are accepted for the accounts, but not debit. The accounts are settled on the last day.

QUESTION ABOUT POWER CONVERTERS/ADAPTORS
For the cruise portion, the outlets are dual voltage, so you will not need converters or adaptors.

For the hotels, you will need converters and adaptors (or dual converters). Converters change the energy so you can use the appliance, and adaptors fit the different sized outlet.

(most of the time you buy both of these together -- you can get them at Wal-Mart)

This will allow me to have a copy in case someone happened to lose their passport on the trip.

Let Mr. Doggett know (email) if you are going to be riding with us on the motor coach to the airport from Vanderbilt and back again.
If you plan to meet us at the airport please make sure you are not late, I would hate to leave someone behind.

I have chartered a motor coach that will pick us up at Industrial HS and take us to the airport and it will also pick us up and bring us back to
Vanderbilt after we flight into Houston.  IF YOU ARE NOT GOING TO RIDE THE BUS FROM VANDERBILT TO HOUSTON,
MEETING US AT THE AIRPORT, PLEASE LET ME KNOW.

On the ship, every traveler will receive an open account on their cruise ID card, since the ship uses a “cashless system.” These ID cards will be arranged on your first day on the boat. Each traveler can put money on the card using a credit card or euros (there is NO ATM on the ship, so advise students to have their money exchanged before boarding the ship). On the last day, the accounts will be closed out, any cash not used will be returned to the traveler at that time. An automatic “cruise” tip is taken out of each account for all services rendered on board (porterage, housekeeping, dining services, etc.). The amount is 4 euro/day for travelers aged 5-15, and 8 euro/day for all travelers 16 and older. If you feel that the services rendered were not worth this amount, you can contact the Guest Relations of the cruise to have the amount changed, and they will do so.

For students traveling without parents I need to know which excursions your child will be taking or at least which island your child will be taking an excursion on or not.  I dont want any of our students to be left unsponsored while the rest of the group is on an excursion.  If you child is not going to be taking an excursion one of the sponsors (myself, Mr. Henry or one of the adults) will have to stay back with them.

You can send your child on one of the excursions with me or Mr. Henry or they can go on one of the other organized excursions with another adult from our group.  I would prefer for your child to not go on an excursion alone without someone else (adult) from our group.

If your child for any reason will not be going on one of the excursions one of the sponsors will have to stay back with them.  I do not want your child on the ship or anywhere by themselves.

Unfortunately, our tour consultant didnt have descriptions of all of the ports/excursions. However, a woman she works with went on this exact cruise and provided her with some information on these two excursions that she feels no one should miss out on:

      KusadasiAncient Ephesus

          Half day, guided, entrance fee, & transportation to the site included

          This ancient city is not to miss; unique and historical experience

          You still have free time to spend in Kusadasi after the excursion

      Santorini Oia Village

          Half day, guided, transportation to and from Oia on the other side of the island

          Again a must-do; only way to get the famous views of Santorini in the time provided

I studied in Greece for 6 weeks and had the opportunity to stay in Santorini for a week of that visit. Oia Village is incredible—classic white buildings with blue roofs, and unbelievable landscapes. There is only one port on the island, so it will be extremely helpful to pay for this excursion so you have transportation to Oia, and a guide who will know where to direct you for the best pictures, food and shops! I also had the chance to do a sailing tour to the volcano (though I’m not sure if it was the same that the cruise offers) and it was really fun, too. You get to hike up the volcano, and are also taken to the hot springs. They let you jump off of the boat and swim to the hot springs and mud baths! Kind of tiring if you’re not in good shape (or if you’ve been eating too many gyros), but definitely entertaining!

For Mykonos I’m told walking around on your own is just as fun as the walking tour. There are lots of little shops and things that you can access on your own for only an 8 euro shuttle to town.

For Kusadasi the Turkish bazaars are supposed to be really interesting and offer unique shopping.

In Patmos, unless you have students interested in religion, we recommend you just relax on the beach—the excursion is not necessary.

The excursions in Athens are not necessary for your group because you do have an Acropolis visit and Athens guided sightseeing tour as part of your land tour with Explorica! Also, you do not have to pay extra for the Mycenae & Epidaurus excursion, as it is already a part of your tour!

    Not just another crowded dusty city, Athens has developed from the birthplace of democracy to a bustling modern metropolis. With a local licensed guide, start your time travel at the ancient hot spots of the first Olympic site and the sprawling Acropolis, classical Athens’ religious and civic center. The awe-inspiring Parthenon -- a temple dedicated to Athens’ patron saint Athena -- is the obvious centerpiece, but take time to examine the building next door, where sculpted women hold up the roof with their heads, and the amazing view of modern Athens below.     Island hop, Aegean style! This four-day cruise will take you to six of the most beautiful islands in the world, all with a unique look and feel. You can walk along the main shopping street, Matoyanni, and search for jewelry and clothing, or just take a break in one of the cafes that line the street. You’ll also visit the capital, Hora, with its colorful harbor in which little fishing boats nest happily side by side with luxury yachts.     On Turkey’s west coast, Kusadasi (“Bird Island”) was named for the many pigeons that made their homes in and around the island’s 14th-century fort. Now tourists from around the world flock to this top Turkish resort for its miles of sandy beaches, beautiful rugged scenery, and proximity to important archaeological ruins. Wander through the market, where intricate carpets and glittering jewelry vie for buyers’ attention.     Patmos is a barren island, and is the home of the famous Monastery of St. John the Theologian. There are only 2,500 lucky inhabitants of this rocky but beautiful island, and they are mostly concentrated in three towns – Skala, Chora and Kambos. Many people come here to pay religious homage, while wealthy Athenians and Europeans use this island as a vacation destination. You’ll see gold-leafed Byzantine frescos at the Monastery of St. John, the picturesque village of Chora, and Skala, the busy port town with many beautiful beaches, shops, and much else to keep you busy – all found on this beautiful and picturesque island.

    Once a political and religious center of the ancient world (and home of one of the seven wonders of the ancient world), Rhodes now lures visitors with sunny beaches, well-preserved medieval fortifications, and a castle on a hill. A league of Christian knights built the beautiful palace in the 1300s on the highest point of the island. Though partially destroyed by an explosion in 1856, the palace was rebuilt by the Italians to serve as one of Mussolini’s summer homes.     Rising steeply from the Aegean, crescent-shaped Santorini marks the rim of a volcanic crater that exploded in 1625 B.C., destroying and fragmenting a much larger island. The sea flooded into the crater, and now white towns gleam from the tops of the rocky cliffs, streaked black, brown, pink, and pale green.     Age Restrictions

    Explorica does not accept applications for travelers under the age of 10. As our prices are based on student rates, adults age 23 and older are welcome to participate, however, they are responsible for paying a flat adult supplement.

    Cancellations

    The parent or guardian of a participant may contact Explorica to inquire about cancellations. Official cancellation requests MUST be faxed to us at 888.310.7088 or emailed to cancellations@explorica.com.

    Will my reservations be cancelled by Explorica if I do not make my payments?

    If you do not meet the conditions of your payment plan, your reservations will be cancelled and standard cancellation fees will apply.

    Explorica's Travel Protection Plan: Cancel For Any Reason Benefit

    We offer all travelers the option of purchasing our Travel Protection Plan, which includes a Cancel for Any Reason Benefit. For more information about benefit rules and timelines, please see the Travel Protection section of our website.

    Please note: If you are due a refund after cancellation, processing takes approximately four to six weeks.

    Adult Rooming

    Adults (23 years of age or older) are automatically placed in twin rooms unless a single room is selected and paid for at the time of enrollment. The adult rooming supplement fee for US travelers is $30 per night ($70 per night on ferries and cruise ships) and $65 per night for a single room. For Canadian travelers it is $40 per night ($95 per night on ferries and cruise ships) and $80 per night for a single room.

    Roommates are assigned by your Group Leader and requests should be given to your Group Leader 60 days prior to your departure.

    Refunds

    If your account has an overpayment Explorica will process your refund once all funds have cleared the bank. This usually takes about 2-3 weeks from the time the refund is posted. If your account has been cancelled, any refund due will be processed 4-6 weeks from the date of cancellation. If you purchased Explorica's Travel Protection Plan, you may submit a claim to Trip Mate.

    Explorica issues refunds in the same method payments were made. Please note that Explorica cannot refund credit cards that were not originally used for payments, or that exceed the total amount charged to that card. Please contact Explorica at 888.310.7121 with questions concerning your refund.

    Special Needs and Disabilities

    Students or adults with special needs or physical disabilities may travel on an Explorica Tour. Please let us know in advance of your departure and we will do everything we can to accommodate your needs. Please note: some bus companies and hotels are not wheelchair accessible. We ask that you contact your Program Consultant or a Customer Care Representative with your specific needs.

    Alternative Departure Gateways

    If you would like to depart or return from a different airport than your group, please indicate this request at the time of your enrollment. Select your desired departure airport from the Alternate Gateway menu on the Customizations page, or include your selections on your paper application. You will pay the Tour Fee and Airport Fees based on your departure city plus a service fee ($145 USD, $175 CAD) and we will change your airline ticket accordingly. Travelers must depart from and return to the same US/Canadian gateway.

    Sending a Group Check

    If you would like to allocate check funds amongst group members, please fill out Group Check Form. If your check is larger than your participants’ total balance, please assign the extra amount to the Group Leader. If you have more than one group check to submit, please make a copy of the form and submit a separate one for each. Please mail this form(s) with your check(s), payable to Explorica Inc, to:

    Parental Authorization

    The governments of certain countries require parental consent for a minor to enter. This document needs to be completed prior to departure and taken with the traveler on tour. The forms below must be signed and notarized in order for each student to enter the country. Each traveler must present the form, along with a valid passport, to the airline attendant upon checking in.

    Any specific questions or concerns regarding the necessity of these forms or how to complete them should be directed toward the embassy of the country being visited.

    Greek Cruises

    Specific details and requirements vary by cruise line so please be sure to research your cruise line's guidelines prior to your departure. The following is a list of helpful information:

    General Information

    • Each passenger is responsible for bringing all required travel documents (passports and visas).
    • Safety boxes for your valuable items, jewelry, money and documents are available on most ships.

    Attire

    • Light-weight layers are recommended to suit the weather conditions of Greece and Turkey.
    • Comfortable shoes are recommended for excursions as well as formal wear for evening functions.

    Health and Medical Requirements

    • If you are taking any medication please bring a copy of your doctor’s notes with you.
    • Pregnant ladies who are 6 months and over are not allowed on board due to safety reasons.

    Frequent Flier Miles

    The ability to obtain frequent flyer miles will vary depending on the airline; some airlines will credit your account and others cannot do so because you are flying on a group ticket. You will need to contact the airline directly, as Explorica is unable to negotiate frequent flyer miles on your behalf. It is helpful to obtain your boarding passes.

    Travel Delays

    Travel can be unpredictable and arrival times are not guaranteed.

    • If you are flying from the west coast or into southern Europe, you should expect a late arrival time. Your Tour Director will work to readjust your itinerary in order to accommodate your arrival.
    • If weather or mechanical problems delay your flight, your airline must work with you to make alternate arrangements and you will join the tour already in progress.
    • We strongly recommend purchasing Explorica's Travel Protection Plan Protection to protect you in the case of a travel delay or other unforeseen circumstances.

    Land Only

    For many of our tours, you may opt to arrange your own airline tickets and join the group at the first hotel at their first overseas destination. We will discount your Tour Fee by up to 35 percent. Tours that include an internal flight (such as China) do not permit the Land Only option.

    You may sign up as a Land Only Participant online, by selecting the Land Only box on the Customizations page. Should you wish to mail us a paper application, please mark your application accordingly to reflect this option.

    Please note that all Land Only Participants are responsible for their own airline tickets AND airport transfers. You will not be met at the airport by an Explorica representative.

    ATTENTION MINOR TRAVELERS (UNDER THE AGE OF 18)

    Minors may NOT travel Land Only unless one of the following conditions is met:

    1. The traveler is accompanied by an adult. If the accompanying adult is not the parent or guardian of the traveler, written consent must be provided by the legal parent or guardian.
    2. The parent or guardian of the traveler has signed a consent form acknowledging that the traveler will not be met at the airport and Explorica will NOT supply chaperone or transport service to or from the airport. Forms must be completed at the time of Land Only enrollment and faxed to Explorica at 1.888.310.7088.

    Late Sign Up and Reinstatement (International Tours)

    All enrollments and reinstatements received less than 99 days prior to departure are subject to a $125 late sign up fee and must immediately be paid in full, including the service fee. After late applications have been received, additional charges (for last-minute flight reservations, increased Tour Fees, etc) may apply. You will be notified of these additional fees before any charges are made.

    Late applicants will be placed on a waiting list and be marked "pending" while we look into securing hotel and flight reservations. Over 90% of our wait-listed participants are accepted.

    • Any participant reinstating under 99 days prior to departure must pay a $50 reinstatement fee in addition to the late sign up fee. All current tour costs will apply, as well as any previous late payment fees or selected optionals.
    • If your late application is received between 98 and 65 days prior to departure and Explorica is unable to reserve flight space with your group, you may refuse the available flight itinerary and cancel your entire tour reservation for a full refund (or amount paid to reinstate).
    • If your late application is received between 64 and 30 days prior to departure and Explorica is unable to reserve flight space with your group, you MUST accept the alternate flight itinerary offered. You will still be met by an Explorica representative at the airport of your final destination and will join your group for all of the tour's activities, transfers, accommodations, etc.
    • We cannot make flight arrangements for anyone wishing to sign up or reinstate between 29 and 16 days prior to departure. Should you choose to sign up at this late a date, you must do so as a land only participant.

    Payment Plans and Options

    Explorica offers three convenient payment plans and accepts Visa and MasterCard (credit and debit), checks, electronic checking account payments and money orders. Payments can be made online, over the telephone or by mail.

    Pay your $95 Membership Fee upon enrollment, and then pay $500 toward your balance 30 days later. The total remaining balance is due 99 days prior to departure. You must make each payment manually.

    Monthly Automated Plan:

    Pay your $100 nonrefundable deposit plus any travel protection plan fees with a credit card or checking account upon enrollment, and the balance of your Tour Fee will be automatically charged to your card or debited from your account in equal monthly installments until 65 days (45 days for bus groups) prior to your departure date. Please note that you must make all payments by credit card, debit card, or checking account. If two consecutive payments are returned NSF or declined, we will change your account to the 3-Step Manual Plan.

    Full Payment Plan:

    Pay in full at the time of enrollment.

    Optional Excursions

    Explorica offers optional excursions on most of our tours to provide flexibility to your itinerary.  Any excursion labeled “optional” on the tour description is not included in your tour fee and may be added, for an additional cost, to your itinerary.  To find out more about Optional Excursion costs, see Optional Excursion section of our Terms and Conditions.

    While most optional excursions can be booked during your tour, Explorica recommends that you book them prior to departure to ensure availability.  Some excursions, such as the optional Versailles excursion, are pre-book only and must be booked before departure.  A minimum of 20 participants is required in order to run each activity.

    Cancel For Any Reason Benefit

    Explorica’s Cancel For Any Reason Benefit protects your tour investment should you need to cancel your tour for any reason not currently covered in our travel protection plan provision, with a minimum cash reimbursement of 75% of all Explorica’s non-refundable cancellation fees, provided the cancellation occurs 2 days or more before tour departure.

    Along with the Cancel For Any Reason Benefit, purchasing this optional plan entitles you to the following benefits:

    Post-Departure Trip Interruption

    If you have to interrupt your trip after departure due to a covered injury, sickness, or death (your own or that of a traveling companion or an immediate family member) or for other covered events such as: cancellation of arrangements by an airline due to strike or bad weather; a documented theft of passports or visas; or a terrorist act which occurs in your departure city or in a city which is a scheduled destination for your trip provided the terrorist act occurs within 30 days of the scheduled departure date for your trip and your premium is received within 14 days of the initial deposit/payment for your trip, as defined, you will be reimbursed up to the trip cost for the unused, non-refundable land or water arrangements and the additional transport charges paid to return home or to rejoin your trip (limited to economy one-way airfare, or first class if your original tickets were first class).

    Travel Delay

    Provides up to $100 per day (maximum of $500) for reasonable accommodation and traveling expenses until travel becomes possible if you are delayed for more than 12 hours due to a covered reason such as air carrier delay; injury, sickness, or death of you or your traveling companion; quarantine; loss of passport, travel documents, or money; or natural disaster.

    Medical Expense/Emergency Assistance

    Provides reimbursement up to $25,000 for reasonable and customary medical expenses incurred within 365 days of a covered sickness which occurs while on your trip; emergency dental treatment received during your trip; the costs for emergency transport to home or an appropriate hospital, including escort expense (both, if deemed necessary by the attending physician), for a covered injury or sickness which occurs while on your trip; or the cost of homeward carriage if deceased.

    Baggage & Personal Effects

    Coverage up to $2,000 for direct physical loss or damage to your baggage, passports, or visas while on your trip. A $500 maximum limit applies to jewelry, gems, watches, cameras and camera equipment, and furs; a $250 per article limit applies to all other items. If, while on your trip, your baggage is delayed for 24 hours or more, we will reimburse you up to $100 for the purchase of necessary additional clothing and personal articles.

    Pre-Existing Conditions Waiver

    The Plan Exclusion for Pre-Existing Conditions is waived if you purchase the plan within 14 days of your initial deposit/payment for your trip and you are not disabled from travel at the time your plan payment is received.

    A “Certificate of Coverage” which provides complete details of the plan, including conditions, exclusions, and limitations, is available to you on our website under the Travel Protection Plan or is available to you at any time by request.

    Baggage

    Packing: I understand that it is hard but it is so important to pack light! Participants should limit themselves to 1 checked bag and 1 carry on. Any bags that do not fit under the bus will make the bus time very uncomfortable if extra bags need to be placed where you are sitting. Plus everyone must be comfortable lugging their bags up stairs when necessary.  On the Italy trip we almost had to leave bags behind.  Do not plan on buy extra luggage to bring back purchased items, we might not be able to get them on the bus.  You can mail items back if we do not have room for them on the bus.

    Checked bags are limited to 50 lbs

    We recommend you take care of your passport the second you book your tour.  Read this page to get information on how to get a passport or how to renew an existing passport.  Visas are also necessary for travel to many countries and should be taken care of immediately.  Below, find a list of countries that require travel visas and information on how to obtain one.

    Obtain a Passport

    You must have a valid passport to leave and reenter the country; this includes trips to Canada and Mexico.

    Visit the U.S. State Department Passport Information page for complete information on how to apply for a new passport. 

    Just remember to begin your application process at least 4-8 weeks before your departure date to ensure that your passport arrives on time.  Once you have begun the application process, the U.S. State Department allows you to track the status of your application on their website.

    Renew Your Passport

    Even if you have a passport, if it has passed its expiration date it is no longer considered valid and you will not be allowed to leave the country.  Make sure you check your passport’s expiration date which can be found on the data page in your passport (the page that has your picture on it!).  Passports are valid for 5 years for minors under the age of 16 and 10 years for those aged 16 and older.

    Hotel Quality

    Standard Quality hotels are tourist class accommodations typically located near public transportation. All hotels offer clean, safe and comfortable rooms with private bathrooms.  Beds may be single or double, depending on the hotel, and double beds may be shared.

    Upgraded Quality (our hotels have been upgraded for this trip) hotels, if selected, are centrally located and within walking distance of tourist attractions and public transportation.  They typically offer more amenities, desk service and are considered 3-4 star hotels, according to European standards.  All rooms have private bathrooms and either single or double beds, depending on the hotel. Single beds sleep just one person and double beds may be shared.

    Student Rooming

    While on tour, students will be sharing rooms with 2 or 3 roommates of the same gender.  For teacher-led tours, the Group Leaders will assign these roommates.  Hotel rooms are furnished with either single or double beds; single beds sleep just one person and double beds may be shared. 

    Adult Rooming

    Adults will be sharing rooms with 2 adults.

    Accommodations: Hotels abroad are often not as modern or standardized as they are in North America. Here are some things to expect:

    • Rooms and beds are usually much smaller and have single beds. (Adult rooming can be sometimes be two twins that are pushed together to create a double bed or an actual double bed).

    • Rooms seldom have air conditions or televisions. Not all have phones in the room either—this is becoming more the case in recent years as the hotels rely on guest having personal cell phones.

    • Not all European hotels have elevators and if they do they can be extremely small. One major reason to pack light! You must be able to carry luggage up and down stairs when necessary.

    • The showerhead may be detachable, hand-held device, directly above the toilet or sink.

    • Groups may not all be roomed next to each other and may be on different floors.



    Clothing

    Shoes - wear shoes that are comfortable and ones that you can walk in.

    Food & Money


    Spending money - how much money you will need will depend on how many souvenirs you want to purchase,  The only money that will need to spend will be on lunch, beverages that are not part of the meal and tipping the tour guide.  You might bring extra money for sodas, street vending food like hot dogs, honey roasted peanuts and other snacks that you might want. 

    Tipping: EF recommends collecting tip money before you leave for your tour. It is sometimes hard for the students to remember to budget it in while they are traveling. EF suggests tipping amounts are $4-5/day/person for the tour director, $1-2/day/person for the bus driver and $1-$2/person for the local guides (You will have 4 on this tour).

    Money: It is recommended to exchange $50 into euros before you depart on your trip. This way 50 people aren’t running to get money at the exact same time! Do not bring travelers’ checks since they are difficult and costly to cash. ATMs are the most convenient method for cash withdrawals. All travelers should check with their banks to ensure that their cards will work abroad.  Also, it is wise to inform you bank you will be out of the country so they will not suspect fraud on your cards.

    Meals:

    Explorica provides breakfast and dinner daily on all tours (unless otherwise indicated on your itinerary). Lunch is only included on Greek cruises, on Costa Rica and China tours, and when otherwise indicated in the program description. On all other tours, participants have lunch breaks and free-time to explore their own local food options.

    Breakfast

    European-style breakfast is offered every morning and will always include juice, cereal, bread (like toast, croissant, or pastry), and coffee, tea, or hot chocolate, as well as either cheese, eggs, yogurt, fruit, or meat.

    Dinner

    Explorica chooses restaurants that appeal to students while also providing them with a taste of local cuisine. By providing both familiar fares with regional foods, students are given the opportunity to try new things without inducing culture shock!

    Dietary Restrictions

    Be sure to remind your Tour Director and Group Leader of any dietary restrictions or food allergies you have at the beginning of your tour. We will do our best to work around your dietary restrictions but please be aware that we cannot absolutely control the cuisine. We recommend that you pack some snacks for any times there may be difficulty accommodating your food restrictions.

    Meal Refunds

    All breakfasts and dinners are included in the tour fee so it is not possible to refund the money for any meals you choose to miss.

    MONEY BELT - get yourself a money/passport belt that goes under your clothes.  This will help you keep your valuables safe from pick-pockets.  IT IS VERY IMPORTANT NOT TO LOSE YOUR PASSPORT and money belt will help keep it.  Passports are a little big to carry in your pants pockets guys.  You can get these a Wal-Mart or Target.

    Supervision 
    Students that are traveling without parents or an adult will be under the supervision of Mr. Doggett and Mr. Henry.  Student traveling with their parents will be under the supervision of their parents but also expected to follow school rules and rules of the travel company which will be enforced by Mr. Doggett and Mr. Henry

    Student are not allowed to be left in the hotel alone at any time, even if traveling with a parent, tour company rules.  A student can stay in the hotel if accompanied by their parent or an adult.

    Students are not allowed to be on their own at any time while on the trip  It is okay for student to split off with other groups as long as an adult is with them.
